Terms of Service

Last updated: September 29, 2026

1. About LeonVox and these Terms

LeonVox is operated by Aslan AI Systems LLC (“Aslan AI Systems,” “we,” “us,” or “our”). These Terms of Service (“Terms”) govern access to and use of the LeonVox website, demonstrations, management tools, and business services that reference these Terms (collectively, the “Services”).

“You” means the person using the Services or the organization that person is authorized to represent. If you accept these Terms for an organization, you represent that you have authority to bind that organization.

You must be legally able to enter into a binding agreement to establish a business account or purchase Services. If you do not agree to these Terms, do not establish an account or use the Services.

A separately accepted service agreement, order form, or statement of work may contain additional terms. If it conflicts with these Terms, the separate agreement controls for the Services it covers. An applicable data processing agreement controls matters within its scope.

2. What the Services provide

LeonVox helps businesses manage customer communications through voice and supported messaging channels, including WhatsApp. Depending on the features selected, configured, and activated for a business, the Services may answer routine questions, assist with appointment requests, support reservation or ordering workflows, and provide conversation history and operational information.

Feature availability depends on the agreed service scope, technical configuration, supported integrations, and required provider approvals. A feature described on our website or demonstrated in a recording is not automatically included in every account.

LeonVox provides communication and workflow software. Unless we expressly agree otherwise, we are not the seller or provider of the goods, appointments, or other services offered by a business using LeonVox. That business remains responsible for its offerings, fulfillment, customer policies, and customer relationships.

3. Accounts, access, and authorized connections

You must provide accurate account and business information and keep it reasonably current. You are responsible for managing your authorized users and protecting account credentials and integration secrets.

You may connect only business accounts, phone numbers, calendars, and other systems that you own or have permission to administer. You authorize us to access and use those connections as necessary to provide the Services you request, within the permissions granted.

Notify us promptly if you suspect unauthorized access or a compromised connection. We may require reasonable verification before granting access, changing account ownership, or releasing account information.

Disconnecting a provider or revoking permissions may prevent related features from functioning. Disconnecting an integration does not, by itself, cancel a paid service agreement or delete information already stored.

4. Your business responsibilities

You are responsible for:

These responsibilities do not remove our obligations under applicable law or a separate service agreement.

5. AI-generated responses and operational limits

The Services may use artificial intelligence to interpret requests, generate responses, summarize conversations, and assist with configured workflows. AI-generated information can be inaccurate, incomplete, or misunderstood.

Use appropriate human judgment when relying on generated responses. Important details, including prices, appointment times, customer instructions, and transaction outcomes, should be checked against the relevant business records or connected system.

A conversational response alone should not be treated as proof that a transaction completed. Confirm completion through the relevant system or recorded transaction result when the outcome is uncertain.

LeonVox does not provide medical, legal, financial, or other regulated professional advice. The Services are not intended for emergency communications or situations in which an error or delay could cause serious injury. Contact the appropriate emergency service directly in an emergency.

6. WhatsApp and other communication channels

Your use of a connected communication channel must comply with applicable law and the provider’s current terms and policies. For WhatsApp, this includes the applicable WhatsApp Business terms and the WhatsApp Business Messaging Policy.

You are responsible for obtaining required recipient permissions, providing required notices, respecting opt-out requests, and using message templates and messaging windows appropriately. An inquiry, appointment request, or acceptance of these Terms does not by itself authorize unrelated marketing messages.

Creating or approving a message template does not send a message. Template approval does not replace recipient consent or other applicable requirements.

Meta and other providers independently control their account reviews, template decisions, messaging limits, delivery systems, and enforcement actions. We do not guarantee provider approval, continued provider access, or delivery of every communication.

You must not use the Services to impersonate another business, send unsolicited or deceptive communications, or bypass provider restrictions.

7. SMS text messaging

The LeonVox order and booking updates program sends transactional text messages to people who agree to receive them during a call handled by the LeonVox assistant, or by checking the optional SMS consent box on a LeonVox online reservation page. Messages relate only to the order, reservation, appointment or payment the person requested, and to service notices about it. The program does not send marketing messages.

Message frequency varies, usually one to three messages per order or booking. Message and data rates may apply. Reply STOP to cancel at any time; reply HELP for help or email support@leonvox.com. Carriers are not liable for delayed or undelivered messages.

Consent to receive text messages is not a condition of any purchase. Mobile phone numbers and text messaging consent are not shared with or sold to third parties or affiliates for marketing or promotional purposes. See SMS messaging for how the program works.

8. Customer information and privacy

You retain your rights in the business materials, customer information, and other content you provide or are authorized to manage through the Services.

You grant us permission to host, transmit, and process that information as necessary to provide, secure, support, and maintain the Services in accordance with the applicable agreements and your authorized instructions. This permission does not transfer ownership of your information to us.

Our Privacy Policy explains our handling of personal information. When we process customer information on behalf of a business, the business’s own privacy notice and any applicable data processing agreement also apply.

Do not submit passwords, full payment card details, government identification numbers, or other sensitive information through a public demonstration or ordinary inquiry form. Do not use the Services for information subject to specialized security or regulatory requirements unless we have expressly agreed to support that use.

Information access and deletion requests can be submitted using our data deletion instructions or by emailing privacy@leonvox.com. Requests remain subject to appropriate verification, applicable obligations, and the rights of the business responsible for the records.

9. Third-party services

The Services may depend on third-party communications platforms, AI services, hosting providers, calendars, and other business systems. For example, an enabled appointment integration may use Google Calendar.

Third-party services are subject to their own terms, availability, permissions, and technical limitations. Some may require separate accounts or charges.

Changes, interruptions, or restrictions affecting a third-party service may affect related LeonVox features. We will remain responsible for the commitments we expressly make in our own service agreements, but we cannot guarantee the operation of systems controlled by others.

10. Demonstrations, trials, and preview features

Demonstrations and preview features are provided for evaluation within their stated limits. They may have restricted functionality, usage limits, or availability and may change or be discontinued.

A public demonstration using fictional business information does not create a real appointment, reservation, order, or other transaction. Do not submit real customer records or sensitive information to such demonstrations.

Production use requires the relevant business configuration, agreed service scope, and any necessary activation or provider approval. A demonstration does not establish a service-level commitment.

11. Fees and commercial terms

Fees, setup charges, included usage, additional usage charges, third-party charges, taxes, payment schedules, service periods, renewal arrangements, and cancellation or refund terms will be stated in the proposal, order form, or other agreement accepted for your Services.

Website pricing describes the stated offering and does not change an existing agreement. We will disclose applicable commercial terms before you purchase the relevant Services.

These Terms alone do not enroll you in a paid subscription or authorize automatic renewal. Any recurring payment or renewal arrangement must be disclosed and accepted as part of the applicable purchase or service agreement.

Nothing in these Terms limits a refund or cancellation right that cannot lawfully be excluded.

12. Acceptable use

You must not use the Services to:

Security testing that could affect the Services requires our prior written authorization, except where applicable law provides otherwise.

13. Intellectual property

We and our licensors retain ownership of the LeonVox software, website materials, branding, documentation, and other intellectual property supplied as part of the Services.

Subject to these Terms and your applicable service agreement, you may use the Services for their intended purpose during your authorized access period. No ownership interest in our software or branding is transferred to you.

You retain ownership of your business materials. Third-party materials and software remain subject to their respective rights and licenses.

14. Availability, maintenance, and changes

We may maintain, update, or modify the Services to improve functionality, address security issues, comply with applicable requirements, or respond to provider changes.

We do not promise uninterrupted or error-free operation. Any guaranteed availability, support response time, or service credit must be expressly stated in a separate agreement.

Where reasonably practicable, we will provide notice of a material change that adversely affects an agreed paid service. Changes remain subject to our contractual commitments and applicable law.

15. Suspension and termination

We may restrict or suspend access where reasonably necessary to address a security incident, unlawful activity, a material violation of these Terms, a provider restriction, or overdue payment under an applicable agreement.

Where practicable and appropriate, we will explain the issue and provide an opportunity to resolve it. Immediate action may be necessary to protect people, information, or systems, or to comply with a legal requirement.

You may stop using the website or a demonstration at any time. Cancellation of paid Services is governed by your applicable agreement. Contact us to arrange service closure and discuss access to or deletion of information under the applicable agreement and Privacy Policy.

Termination does not erase amounts properly owed, resolve outstanding disputes, or require deletion of records that must be retained under applicable law. Terms that by their nature should continue will survive termination.

16. Warranties and limitations

We will provide the Services in accordance with the commitments expressly stated in your applicable agreement and the requirements of applicable law.

Except for those commitments and any rights that cannot be excluded, the Services are provided on an “as available” basis. We do not warrant that AI-generated responses will always be correct, that the Services will meet every business requirement, or that third-party systems will operate without interruption.

To the extent permitted by applicable law, neither party will be liable to the other for indirect or consequential losses arising from use of the Services, including lost profits or business opportunities. Any additional allocation or cap on liability must be stated in a separately accepted service agreement.

Nothing in these Terms excludes or limits liability for fraud, willful misconduct, or any other liability that applicable law does not permit to be excluded or limited. Mandatory consumer rights remain unaffected.

17. Questions and disputes

If a concern arises, contact info@leonvox.com with a description of the issue so we can attempt to resolve it.

Any governing-law or dispute-resolution provision in a separately accepted service agreement applies to that agreement. Otherwise, governing law and the appropriate forum will be determined under applicable law.

These Terms do not impose mandatory arbitration or waive rights that cannot lawfully be waived.

18. Updates to these Terms

We may revise these Terms as the Services or applicable requirements change. The published version will identify its effective or revision date.

We will provide notice of material changes where required by law or an applicable agreement and obtain additional acceptance where required. Changes will not apply retroactively to an existing dispute.

A revision to these website Terms does not, by itself, amend a separately signed agreement that requires another amendment process.
